About Positive Women’s Network – USA (PWN-USA): We are a national membership body of women and people of trans experience living with HIV. We are led by our members and exist to develop leadership among constituencies most impacted by the HIV epidemic in the US; to advance a socially just response to health; and to advocate for progressive, rights-based policies that affect people living with HIV. We are a growing, national organization with a current staff of nine that has outgrown some of our systems and seeks additional administrative and operational support.

Based in PWN-USA’s Organizing Department, the Membership Engagement Coordinator (MEC) develops and implements strategies, plans and mechanisms to build PWN-USA’s membership base and to communicate with, engage, and involve PWN members, with a priority towards those members not affiliated with regional chapters, in organizational activities designed to build power among women, including women of trans experience, living with HIV. The MEC will innovate new approaches to reach and expand our membership base, to work with existing members, and to develop member-to-member support and leadership development models. The MEC will also develop and implement systems to track, monitor, and report on individual member activities that align with PWN-USA’s organizational priorities and goals. This is a full-time position, and can be based anywhere in the US. Travel is required.

RESPONSIBILITIES

Responsibilities include, but are not limited to, the items listed below.

Building and Tracking Membership Base

  • Develop strategies to expand and build PWN-USA’s membership base and implement these strategies in coordination with other relevant departments and staff, including Communications, Policy and Training team.
  • Track member participation in PWN-USA activities and other relevant member-level outcomes for Organizing, Training and Communications Departments.
  • Provide written reports on membership base and activities.

Organizing Strategy

  • Develop and implement member organizing strategy, aligned with PWN’s power building, political agenda, and policy advocacy goals.
  • Serve as liaison between policy department and individual member base to deepen the level of engagement by existing membership in PWN-USA’s organizing and policy advocacy activities.
  • Identify, support, and coordinate PWN leads in states and territories where PWN-USA does not have formally affiliated chapters.

Member Communications and Engagement

  • Develop member-oriented communications plan designed to maximize follow-up and retention from PWN activities.
  • Work with communications department to implement member-oriented communications plan, with social media, online, phone, text and other components designed to reach our base.
  • Serve as liaison between individual members and communications department.
  • With support from relevant departments, develop and implement processes to take input from members on key aspects of PWN-USA’s work.

Represent Organization publicly

  • Speak, train, facilitate and present on PWN-USA organizationally and for programmatic activities as needed.

REQUIREMENTS:

Applicants should understand and be familiar with our constituency. In addition, applicants must be comfortable using Microsoft Office suite (Word, PowerPoint, and Excel), familiar with basic office procedures. As we are a national office with remote staff and members, applicants must demonstrate comfort working across time zones, and with utilizing scheduling features, webinars, and conference calls. Applicants must also demonstrate excellent written and oral communication skills, detail orientation and a track record of following through on commitments.

 Adaptability. We are a responsive, flexible, and growing member-driven advocacy organization.  As such, we seek a candidate who brings a flexible mindset, and who is committed to our vision and impact over specific strategies and mechanisms.

Experience working with resource-limited constituencies. The ideal candidate will understand and appreciate utilizing a diversity of strategies and tactics that successfully engage members with limited financial resources.

A people person. The ideal candidate will have excellent interpersonal skills; will find joy in talking to, learning from, and engaging with our members; will have experience with facilitating meetings and processes; will be non-judgmental; and will demonstrate an ability to listen deeply and meet people where they are.

Experience with grassroots organizing. Our ideal candidate will have experience organizing community-driven advocacy efforts on the ground, and will value bottom-up approaches to solving problems.

 Independent and self-reliant work ethic. Our ideal candidate will be a self-starter with a lot of initiative, comfortable working remotely and implementing a workplan and priorities with excellent follow-through.

 Willingness to travel. As a national organization, we have members throughout the country. We seek an individual who will travel to present at or support relevant member gatherings, trainings, and industry conferences, as well as have flexibility to attend in-person staff retreats and meetings several times a year.

This is a full-time position with a generous benefits package, supervised by the Organizing Director. Starting pay range is $38,000-$48,000 depending on skills, experience and salary history.

The Operations Manager for PWN-USA oversees daily operations, supports project management and program reporting, manages our national and remote offices, and creates and implements organizational policies and procedures. Reporting to the Executive Director, the Operations Manager is a member of the leadership team; as such, they provide guidance and input on the overall activities of the organization, while overseeing operational functions. This is a full-time position, based in our downtown Oakland, CA office, which is our national headquarters. Occasional travel may be required.

RESPONSIBILITIES

Responsibilities include, but are not limited to, the items listed below.

Policies, Procedures and Systems:

  • Create policies & procedures as needed to support programs, organizational needs, and fundraising operations.
  • Develop and/or lead implementation of systems and protocols to support staff and consultants on administrative needs and program management, including operations, calendaring, reporting, monitoring, and tracking systems.
  • Support grant reporting.

Logistical Support:

  • Administrative:
    • Serve as primary point of contact for fiscal sponsor regarding insurance, accounts payable requests, credit card tracking, liability for events, and other fiscal/administrative systems.
    • Create and ensure appropriate documentation of administrative processes
    • Orient, train and support staff and consultants on relevant administrative and operational procedures.
    • Maintain and update organizational calendar(s).
    • As needed, manage executive director’s calendar and priorities, especially as they relate to operational functions.
    • Support travel arrangements, including booking of flights and hotels.
    • Maintain and update travel preferences/accommodations needs documents for board, staff, and key consultants.
    • Maintain and update board, staff and other relevant organizational contact lists.
  • Financial:
    • Train and update staff on reimbursement processes and other administrative procedures.
    • Manage and coordinate reimbursements for staff, participants, and consultants;
    • Prepare and submit coded check requests and requests for reimbursement.
    • Prepare and submit invoices for PWN to funders to support fee for service contracts.
    • Create, implement and maintain standardized systems for accounts receivable.
    • Standardize systems for expense tracking.

Office Management:

  • Negotiate with vendors for rent, phones, equipment, and technology.
  • Ensure staff have necessary equipment and technology to fulfill their responsibilities.
  • Ensure bills and invoices are processed and paid in a timely way.
  • Monitor inventory of PWN-USA marketing materials.
  • Work with vendors to place orders that meet programmatic needs of organization.
  • Respond to general requests for information; direct specific requests to appropriate staff.
  • Check voicemail.
  • Check and process incoming mail; manage outgoing mail needs.
  • Develop and maintain virtual and office filing systems.
  • Schedule and organize meetings.
  • Secure space and manage logistics for staff and board meetings.
  • Provide logistical support for hiring, onboarding, and performance review processes.
  • Coordinate Oakland office administrative volunteers, interns, and/or staff.
  • Maintain office environment, including functionality, cleanliness, supplies, and décor.

Consultants and Contractors:

  • Drafts contracts for independent consultants (based on standard template).
  • Acts as primary point of contact for contractors and consultants.
  • Manages files, billing, invoicing process for consultants, contractors, and vendors.
  • Tracks contractor billing.

Organizational Development:

  • Participates in planning, evaluation, and strategy sessions to assess impact and to achieve organizational goals.
  • Contributes to grant proposals and reports.

Other duties as assigned.

REQUIREMENTS:

Self-directed: Applicants should love problem-solving; demonstrate initiative and accountability; be comfortable managing projects and volunteers as well as working independently.

Adaptive: Applicants should be comfortable working with constituencies with a broad range of professional experience and literacy levels; adaptive to shifting and evolving organizational priorities.

Experienced: Applicants should have experience developing and tracking action plans, timelines for projects, deliverables, and reporting on data.

Communicative: Applicants should have excellent verbal and written communication skills and be skilled in interpersonal relations.

Tech-savvy: Applicants should be proficient in utilizing common office software, Google suite, online project tracking tools, be competent with basic social media, and comfortable navigating websites to manage vendor accounts and vendor communications.

Collaborative: Applicants should demonstrate that they are a great team player and listener with strong interpersonal skills, including the ability to work with staff and consultants remotely.

This is a full-time position with a generous benefits package, supervised by the Executive Director and based in Oakland, CA. Pay range is $47,000-$52,000 depending on experience.

  1. Although, my activities with media news is several years old (i.e. Cincinnati Enquire interviews, WKRC and POZ etc). I would love the opportunity to apply for this position. This sounds like a wonderful way to impact the needs of HIV in our communities.
